Terms & Conditions (2026)
Basic Terms
All rates are quoted in US Dollars, inclusive of TDL and VAT, and are based on a per person, per day basis.
Rates Include
The contract rates are based on an all-inclusive package, which includes breakfast, lunch, dinner, house wines, local spirits and beers, soft drinks, juices, and water.
Rates Exclude
The following items are excluded from the rates and must be covered by the client: all park fees, concession/camping fees, and any extra activities. Premium drinks are not included and must be settled directly by the guest at the property. Guests must also be informed in advance that medical insurance is not included, nor are services such as emergency evacuation.
Booking Procedure
All bookings must be submitted via email to: reservations@karibucamps.com.
Information & Special Requirements
Full guest information must be submitted at least 45 days prior to arrival. This includes full names, nationalities, room allocations, dietary requirements, special occasions (e.g. birthdays, anniversaries), and any medical conditions or physical disabilities requiring special attention. For all children aged 15 and under, a copy of their passport is required for verification.
Driver / Guide Room Policy Clarification
Driver/guide accommodation is available at $5 per night, inclusive of basic lodging and meals. This can be paid in advance to the head office or settled in cash upon arrival at the camp for convenience. Should the driver wish to dine with guests in the main dining area, an additional charge of $35 per meal will apply.
Tour Leader Discounts
Karibu Camps & Lodges will offer one complimentary space (charged at the double room rate) for a bona fide tour leader for every 15 full paying guests, subject to availability. This must be requested at the time of booking. A single supplement will apply if the tour leader occupies a room alone.
Provisional Bookings
Provisional bookings are held subject to availability and at the discretion of Karibu Camps & Lodges. Once the provisional period expires, Karibu Camps & Lodges reserves the right to release the booking without prior notice. Bookings made three or more months before the arrival date will expire 14 days after being made. Bookings made less than three months before arrival will expire after 7 days.
Children
Children’s rates are as specified above. All children below 15 years must share a room with an accompanying adult.
Single Room Rate Policy
Karibu Camps & Lodges Ltd will confirm up to three single rooms per group at the single room rate. Any additional single rooms will be charged at the full double room rate.
Payment / Deposit Requirements
A 25% deposit is required to confirm a booking. The remaining 75% balance must be received no later than 45 days prior to arrival. All bank transfer fees are to be covered by the agent to ensure full invoice amount is received. Please note, a 3% surcharge applies to all payments made by credit card.
Funds received must match the invoiced amount. In the event a cheque is returned unpaid for any reason, the Tour Operator agrees to replace the full amount immediately with cash or a banker’s cheque, and a 3% returned cheque fee will apply.
Cancellation / Reduction in Numbers
- Cancellations between 90–45 days before arrival: 25% of the booking value.
- Cancellations 45 days or less before arrival: 100% of the booking value.
All requests must be submitted in writing.
Government Taxes
All rates provided are based on government taxes and fees applicable at the time this contract was issued. Should there be any changes in taxes or statutory charges, the resulting difference will be passed on to the agent or client.
Travel Insurance
Guests are required to have insurance in place at the time of arrival, covering cancellation, emergency evacuation, medical expenses, lost property, and related incidents.
Breach or Default of Contract
In the event that the Tour Operator fails to comply with any of the terms outlined in this contract, Karibu Camps & Lodges will consider the Tour Operator to be in breach and/or default of the agreement. During the period of default, the rates stated in this contract may be rendered invalid. Furthermore, Karibu Camps & Lodges reserves the right to cancel any bookings made by the Tour Operator, whether paid or previously confirmed.
Clearing the default does not guarantee reinstatement of the contract, nor does it guarantee that any canceled bookings will be restored.
Confidentiality
The Tour Operator acknowledges and agrees that the contents of this agreement are strictly confidential and may not be disclosed to any third party in whole or in part without prior written consent.
Disputes
We aim to resolve all disputes amicably and in good faith. In the event that a mutual resolution cannot be reached, the matter will be referred to and settled under the applicable laws and statutes of the United Republic of Tanzania.
Force Majeure Clauses
- Force Majeure refers to any circumstance beyond the reasonable control of Karibu Camps & Lodges, including but not limited to war or threat of war, civil unrest, sabotage, acts of God, fire, flood, explosion, quarantine, epidemics or pandemics, government action or restriction, adverse weather conditions, or any other unforeseen event that prevents or delays the fulfillment of contractual obligations.
- In the event Karibu Camps & Lodges is affected by a Force Majeure, the client or agent will be notified as soon as reasonably possible, with details outlining the nature and extent of the disruption.
- Karibu Camps & Lodges shall not be held liable for any delay or failure in performance resulting from a Force Majeure and shall not be deemed in breach of contract due to such events.
- In such cases, Karibu Camps & Lodges may, at its sole discretion, cancel or amend arrangements or itineraries. Any refunds or credits provided will be at the full discretion of Karibu Camps & Lodges, who will make reasonable efforts to reimburse where possible. The company reserves the right to deduct any actual or anticipated costs incurred as a result of the Force Majeure.
Liability
All bookings and reservations at any Karibu Camps & Lodges Ltd property are confirmed on the understanding that the agent or client has informed guests of the camp locations and the nature of facilities available at each property.
By choosing to stay at any Karibu Camps & Lodges Ltd property, guests acknowledge and accept that the company shall not be held liable for any loss or damage to personal property, or for any illness, injury, or death, however caused.
